Managing Gift Tags in DonorDock
Gift Tags are labels you can add to gift records to help your organization categorize, filter, and report on donations using information that may not fit within standard fields such as Campaign, Appeal, Fund, or Giving Page.
Gift Tags remain associated with the gift until they are removed and can be used to create flexible groupings based on your organization's tracking needs.
Examples of Gift Tags may include:
Major Gift
Matching Gift
Silent Auction
Sponsorship
Monthly Gift
Event Gift
Board Member Gift
Gift Tags work similarly to Badges on contact records, but they are stored on the gift record rather than the contact.
Gift Tags vs. Campaigns, Appeals, and Funds
Gift Tags provide additional gift-level categorization. They do not replace Campaigns, Appeals, or Funds.
A simple way to think about these options is:
Tracking Option | Purpose |
|---|---|
Campaign | What your organization is raising money for |
Appeal | How your organization solicited the gift |
Fund | Where the donation is intended to be used |
Giving Page | Which DonorDock Online Giving Page the gift is associated with |
Gift Tag | Additional flexible categorization for the individual gift |
A single gift can have multiple Gift Tags.
Add Gift Tags to an Individual Gift
You can add Gift Tags from the Gift details page after the gift has been created.
Navigate to the gift you want to update.
Locate the Gift Tags area at the top of the Gift details page.
Click the pen icon to edit the Gift Tags.
Search for the existing Gift Tag you want to add.
Select the Gift Tag from the dropdown.
Close the window when finished.
💡 Gift Tags are added from the Gift details page after the gift has been created. They are not created directly from the standard manual Add Gift form.
Remove a Gift Tag from an Individual Gift
Removing a Gift Tag from one gift does not delete the Gift Tag itself or remove it from other gifts.
Open the Gift details page for the gift in question.
Click the pen icon in the Gift Tags area.
Click the X next to the Gift Tag you want to remove.
Close the pop-up box when finished.
Add Gift Tags to Multiple Gifts from a Report
You may also use Gift Reports to assign a Gift Tag to multiple gift records at once.
Navigate to Reporting > Reports.
Create or open a Gift Report containing the gifts you want to update.
Apply any filters needed to identify the correct gifts.
Click Run Report.
From the report actions, select Add > Add Tag.
Type the gift tag name and select it from the dropdown.
Click Apply.
You will receive a success message after the Gift Tag has been added to the applicable gifts.
Add Gift Tags During an Import
You can also assign Gift Tags when importing gifts into DonorDock.
Add a column for Gift Tags to your import file. For each gift, enter the name of the Gift Tag you want assigned.
To add multiple Gift Tags to the same gift, separate the tag names with commas.
For example:
Major Gift, Monthly Gift, Sponsor Gift
During the import:
If the Gift Tag name exactly matches an existing Gift Tag, DonorDock will assign the existing tag.
If the Gift Tag does not already exist, DonorDock will create the new Gift Tag and assign it to the applicable gifts.
Gift Tags added through an import are added to the gift record. Existing Gift Tags are not removed simply because they are absent from the import file.
Automatically Add Gift Tags from an Online Giving Page
A DonorDock Online Giving Page can be configured to automatically assign Gift Tags to gifts made through that page.
This can be useful when all gifts made through a particular Giving Page share a common characteristic.
For example, a Giving Page created for a gala sponsorship campaign might automatically assign the Gift Tag Gala Sponsorship to each donation received through the page.
To configure Gift Tags on an existing Giving Page:
Navigate to Online Giving.
Edit the Giving Page you want to update.
Open the Tracking section.
Locate the Gift Tags field under the transaction tracking options.
Search for and select an existing Gift Tag, or enter a new Gift Tag name.
To remove a Gift Tag from the Giving Page configuration, click the X next to the tag.
Click Save.
Gift Tags configured on the Giving Page are automatically added to new gifts received through that page.
Rename a Gift Tag
Administrators can correct or rename an existing Gift Tag without creating a new tag.
Navigate to Transactions > Gifts.
Click Manage Tags in the top right.
Locate the Gift Tag you want to change.
Click the pen icon next to the tag.
Enter the corrected name.
Click Save.
Renaming the Gift Tag updates the existing tag rather than requiring you to replace it on each individual gift.
Delete a Gift Tag
Deleting a Gift Tag is different from removing the tag from an individual gift.
When you delete a Gift Tag through Manage Tags, it is removed from all gifts that currently use that tag.
To delete a Gift Tag:
Navigate to Transactions > Gifts.
Click Manage Tags.
Locate the Gift Tag you want to delete.
Click the trash can icon next to the tag.
Confirm that you want to delete the Gift Tag.
Filter Gift Reports by Gift Tag
Gift Tags are available as filters when creating Gift Reports. This allows you to report on gifts that include or exclude specific tags.
To create a report using a Gift Tag:
Navigate to Reporting > Reports.
Click + Create.
Select Gift Report.
Enter the appropriate date range and any other filters.
For the Tags filter line, enter any gift tags you want to filter the report to. To exclude specific tags, use the Exclude Tags filter.
Click Run Report.
You can then adjust report columns, grouping, or additional filters as needed.
Select Save As if you want to reuse the report configuration later.
When to Use Gift Tags
Gift Tags are most useful when you need a flexible way to categorize gifts beyond DonorDock's standard designation fields.
For example, a gift might already be assigned to:
Campaign: 2026 Annual Campaign
Appeal: Spring Direct Mail
Fund: General Fund
Giving Page: Spring Giving Page
You can also assign Gift Tags such as Major Gift or Matching Gift to capture characteristics that don't belong in those designation fields.
Whenever possible, use DonorDock's standard fields for information that fits their intended purpose. Use Gift Tags when you need an additional reusable label to categorize and report on gifts.
You can also add additional gift fields, such as checkboxes or date fields, if a gift tag doesn't work because the data is too complex.
