Creating Activities in Reports
Activities may created bulk through Contact and Gift Reports. Activities may not be created from an Activity report. If you want to create follow up activities from an activity report, you may use the Add button to add all contacts on an activity report to a Badge or Marketing List and then pull a contact report with that information.
Send Email Activity
Navigate to Reports and select to run a standard report or create a new custom report
Once the report has run, click the Send Emails button in the top right
This will begin generating a temporary marketing list and you will be redirected to a bulk email draft under outreach. The temporary marketing list from the report will be populated under the settings of the email for the Send to value
If the report has a lot of contacts listed, it may take a few minutes for the temporary marketing list to complete population. You will receive an email once the temporary marketing list is ready for use
Once on the draft email, you may proceed to built your bulk email, either by loading an existing marketing template on your email or creating the email directly on the draft
Printing Letters in Bulk using a Template
Navigate to Reports and run a Contact Report
Click the Letters button in the top right
Select Print and select your template
Click to Print Letters
Creating other Activities
Navigate to Reports and select to run a standard report or create a new custom report
Click Add in the top right corner and select to Add activity
Select your activity type: You may choose from Phone Call, Letter, Meeting, Task, Event Attendance, Volunteer, and Ask
If Letter is selected, this is used to note Letters sent outside of DonorDock and the option to select a template will not be available
Input the activity information to include due date and any other specific details you need including hours, date, campaign, appeal, and any other notes
If the activity has been already completed, make sure it mark it Complete
Click Create and Save.
🎉 You have now successfully tracked your activities to the list of contacts. You will be able to see view, edit, manage, and run an activity report for the activities.
🙋🏽♂️ What is the advantage of creating a bulk email through reports instead of the emails page?
You can absolutely create a bulk email by navigating to Outreach > Emails and select to create a new bulk email. The advantage of using a report to create the draft email is that a temporary marketing list is created at the same time and you will not need to delete the list after use. The temporary marketing list will only be available for use on the specific draft email.
If you already have a particular marketing list prepared for your communication, you may go directly to Outreach and creating your email. The Send Emails option becomes more attractive when you are in the process of sending or crafting a single, "one-shot" email communication.
