Managing Memberships in DonorDock

Memberships are a gift type in DonorDock that allows you to track membership programs, including different membership levels, terms, pricing, and expiration dates.

Examples of membership types may include:

  • Annual Membership

  • Monthly Membership

  • Tiered Memberships, such as Copper, Bronze, Silver, or Gold

  • Lifetime Membership

There is no limit to the number of membership types your organization can create, so you can customize your membership options to match your organization's specific programs.

How Active Memberships Are Determined

Membership status is based on the dates stored on the Membership gift.

A contact is considered an active member when they have a Membership gift and are in the time period between a valid start and end date.

For accurate membership tracking:

  • Include a Membership Start Date to identify when the membership begins.

  • Include a Membership End Date to identify when the membership expires.

A Membership End Date is required for DonorDock to determine whether a membership is currently active and for active memberships to appear correctly in Contact Reports.

Create a Membership Type

Membership Types are created and managed through your Organization Settings.

  1. Open the Settings Menu in DonorDock by clicking the grid icon in the upper-right corner.

  2. Select Settings.

  3. From the menu on the left, select Memberships.

  4. Enter a name for the new Membership Type and click Create.

  5. Enter the membership details:

    • Price (Gift Amount)

    • Non-Deductible Amount

    • Term (Duration)

  6. Click Save.

You can create as many Membership Types as your organization needs.

Once a Membership Type has been created, it will be available when entering Membership gifts and when configuring Membership Giving Pages.

Add a Membership Gift

Membership gifts can be added anywhere in DonorDock that a standard gift can be entered.

When creating the gift, select Membership as the Gift Type.

Membership gifts include the following membership-specific fields:

Field

Description

Membership Type

Select from the Membership Types created under Organization Settings.

Membership Start Date

The date the membership begins.

Membership End Date

The date the membership expires. This date is used to determine whether the membership is active.

The Membership gift can also include the standard gift information, such as the gift date, amount, payment information, Campaign, Fund, and Appeal.

Import Membership Gifts

Membership gifts can also be added through a gift import.

When preparing your spreadsheet, include the following information:

  • Contact identifying information: Include enough information to match the gift to an existing Contact record or create a new Contact.

  • Membership Start Date: The date the membership begins.

  • Membership End Date: The date the membership expires. This is required for DonorDock to determine whether the membership is active and to display active membership information correctly in Contact Reports.

  • Gift Date: The date of the membership gift. This may be the same as the Membership Start Date, but it does not have to be.

  • Gift Amount: The amount paid for the membership.

  • Membership Type: The Membership Type associated with the gift.

Creating Membership Types During an Import

If the Membership Type listed in your spreadsheet matches an existing Membership Type under Organization Settings, DonorDock will associate the imported gift with that Membership Type.

If the Membership Type does not already exist, DonorDock can create the new Membership Type during the import.

Create an Active Membership or Renewal Report

You can create a Contact Report to identify active members, upcoming membership expirations, and members who may need to be contacted for renewal.

Create the Report

  1. Navigate to Reporting.

  2. Select Reports.

  3. Click + Create.

  4. Select Contact Report.

    • You can also begin with an existing Standard Contact Report and modify its filters and columns.

  5. Click the blue Filter button to configure the report.

  6. Select Active Members if you only want to include contacts whose memberships have not yet expired.

  7. If needed, filter by one or more specific Membership Types.

  8. Click the Columns icon at the top of the report.

  9. Add the Last Membership End Date column.

  10. Click Apply.

Filter by Renewal Date

To identify memberships expiring within a specific period:

  1. Locate the Last Membership End Date column.

  2. Click the filter icon on the column.

  3. Add the appropriate date filters.

  4. Use Is After or Equal To and Is Before or Equal To to define the desired renewal period.

  5. Click Filter.

For example, you could use these filters to identify all active memberships scheduled to expire during the next quarter.

Once your report is configured, use Save As to save it for future use.

Membership Online Giving Pages

You can create Online Giving Pages connected directly to your Membership Types.

When Membership Type Settings are enabled on a Giving Page, gifts submitted through that page are automatically recorded as Membership gifts. DonorDock can automatically apply the selected:

  • Membership Type

  • Gift Amount

  • Membership Start Date

  • Membership End Date

  • Non-Deductible Amount

  • Membership Term

Note: Membership Giving Page settings are available only for organizations using Stripe as their payment processor. Membership Type Settings are not compatible with PayPal.

Set Up a Membership Giving Page
  1. Navigate to Online Giving from the DonorDock navigation menu.

    • Only administrators can manage Online Giving settings.

  2. Click Add New Giving Page in the upper-right corner.

  3. Under the Basics section, select Membership from the Gift Type dropdown.

  4. Turn on Use Membership Type Settings.

  5. Select the Membership Types you want donors to be able to choose.

  6. Complete the remaining Giving Page settings.

  7. Save and publish the Giving Page.

If Use Membership Type Settings is turned off, the page will function like a standard Giving Page using the normal frequency and preset amount options.

Giving Page Options When Using Membership Type Settings

When Use Membership Type Settings is enabled, several Giving Page options are adjusted automatically.

Membership Type Selections

The preset amount section allows you to select Membership Types that donors can choose from.

For each Membership Type:

  1. Select a Membership Type from the dropdown.

  2. The saved membership title and amount will populate automatically.

  3. Update the displayed title or amount if needed.

Donation Frequency

The standard donation frequency selector is removed because the Membership Type's term determines the membership duration and renewal frequency.

Custom Amounts

Custom donation amounts are disabled when Membership Type Settings are enabled. Donors must select from the Membership Types configured on the page.

Membership Auto-Renewal

Membership Giving Pages can allow donors to choose whether they would like their membership to renew automatically.

If the donor selects the auto-renewal option:

  • A recurring subscription is created in Stripe.

  • Future renewals are processed automatically.

  • The renewal schedule is based on the term of the selected Membership Type.

Supported automatic renewal terms include:

  • Monthly

  • Every 3 months

  • Every 12 months

Weekly membership renewals are not supported.

What If No Membership Types Appear on the Giving Page?

Membership Types must first be created under Organization Settings before they can be added to a Membership Giving Page.

Navigate to Settings > Membership Settings, create the Membership Type, and save its price, non-deductible amount, and term.

Once saved, return to your Giving Page and select the Membership Type from the available options.
