Manually Creating Gifts

You can create individual gift records manually in DonorDock whenever your organization receives a donation outside a DonorDock Online Giving Page or another connected integration.

You can begin entering gifts manually in several ways. You can create an individual gift from the Gifts page, a contact record, or the Quick Add menu. Organizations using Gift Batches can also enter multiple gifts quickly using the Bulk Gift Entry screen.

Create a Gift from the Gifts Page
  1. Navigate to Transactions > Gifts.

  2. Click + Add Gift in the top right.

  3. Select the contact associated with the gift.

  4. Enter the required gift information and any applicable optional details.

  5. Click Create and Save.

Create a Gift from a Contact Record

Creating a gift directly from a contact record automatically associates the new gift with that contact.

  1. Navigate to Contacts and open the contact.

  2. Click the blue + Add button in the top right.

  3. Select Add Gift.

  4. Enter the required gift information and any applicable optional details.

  5. Click Create and Save.

Create a Gift from the Quick Add Menu

The Quick Add menu allows you to create a gift without first navigating to the Gifts or Contacts pages.

  1. From any page in DonorDock, click the blue + in the top right.

  2. Select Add Gift.

  3. Select the contact associated with the gift.

  4. Enter the required gift information and any applicable optional details.

  5. Click Create and Save.

Using Gift Batches

Gift Batches allow your organization to organize related gifts into groups for easier entry, deposit tracking, reconciliation, reporting, and accounting.

A batch might represent a:

  • Bank deposit

  • Fundraising event

  • Mailed appeal

  • Group of checks

  • Imported file

  • Other collection of related gifts

Gift Batches are required when using the QuickBooks Desktop integration, but organizations can also enable Gift Batches as a standalone DonorDock feature.

Assign an Individual Gift to a Batch

When Gift Batches are enabled, the current batch information appears at the top of the gift creation panel when manually adding a gift.

From this section, you can:

  • View the currently active batch

  • Assign the gift to a different open batch

  • Close the current batch

Enter Multiple Gifts with Bulk Gift Entry

If you have several gifts to enter into the same batch, the Bulk Gift Entry page provides a grid-style table designed for faster data entry.

To open Bulk Gift Entry:

  1. Navigate to Transactions.

  2. Select Gift Batches.

  3. Locate the appropriate open batch.

  4. Click the list and pencil icon for the batch.

Enter each gift on its own row. You can move through the table by pressing Tab. A row is saved when you tab out of the final column or select the Save icon for that row.

Customize the Bulk Gift Entry Fields

You can adjust the fields displayed in Bulk Gift Entry based on the information your organization needs to record.

  1. Click the Columns icon on the right side of the page.

  2. Add or remove the fields you want displayed in the entry table.

  3. Continue entering gifts using the updated columns.

Any default values set in the batch settings will automatically populate the applicable columns, reducing repetitive data entry.

Enable Gift Batches

An organization administrator can enable Gift Batches from Organization Settings.

  1. Open the Settings Menu.

  2. Select Organization Settings.

  3. Select Features from the menu on the left.

  4. Turn on Use Gift Batches.

  5. Click Save.

After enabling Gift Batches, you may need to log out of DonorDock and log back in before the Gift Batches page and related batch options appear.

After Creating the Gift

Once saved, the new gift becomes part of the contact's giving history and can be viewed from Transactions > Gifts or from the Gifts section of the contact's profile.

Depending on the information associated with the gift, it may also appear on related Campaign, Appeal, Fund, Giving Page, Pledge, Batch, and Gift Reports.

To make changes later, open the gift record and select Edit Gift.
