Project Board Overview

The Project Board in DonorDock is a visual, Kanban-style board that helps teams organize, manage, and track work across projects. It allows you to group related tasks into lanes of your choosing, making it easier to see progress, coordinate efforts, and keep projects moving forward.
Project Boards are especially useful for managing multi-step initiatives such as campaigns, events, onboarding processes, or internal workflows where tasks need to be tracked over time.

How the Project Board Works
The Project Board is built around Tasks, an activity type in DonorDock used to track tasks that need to be completed or planned. Tasks appear as cards on the board and move through lanes that represent stages of work, such as To Do, In Progress, or Completed.
Tasks belong to a single Project Board at a time and can also appear on a team member's Action Board, ensuring visibility for both project tracking and individual team member follow-through.

Step 1: Access the Project Board
Log in to DonorDock
Navigate to Boards in the main navigation and select Projects
Boards menu: Actions, Asks, and Projects
Step 2: Use Project Board Filters and Metrics
Filters
At the top of the Project Board, you can filter by:
Board View
Select the arrow icon next to the current board name to view other board options or create a new Board

Task View
Select the filter icon dropdown on the top tools to toggle between: My Tasks and All Tasks on the board

Select the checkmark dropdown to view status options of: All, Completed, or Incomplete

Select the Calendar dropdown to adjust the date filter by the due date range you want to view on the board

Step 3: Create Tasks for a Project
Tasks are the building blocks of Project Boards. You can create tasks directly from the board or from other areas of DonorDock.
Project Board
Click the Add Task button in the top right corner of the board to create a new Task, or click Add Task at the bottom of each lane on the board


Action Board
Add a task through the add Action on a nudge or through the Add Action option on the Action Board


Quick Add Menu
Use Quick Add to create an Task from anywhere in DonorDock without leaving your current screen

Specific Contact Record
Open a contactβs profile and add an Task activity tied directly to that individual

Reports
Create Ask activities in bulk for multiple contacts using report-based actions


Available Fields When Creating an Task
When creating a Task activity, you will be prompted to complete several fields that help define and track the Task:

Contact | The individual, household, or organization to which the Task activity is assigned |
Assigned To | The team member responsible for completing the Task |
Add to Actions Board Toggle | When turned on (blue), a card for the incomplete Task will also appear on the ActionBoard for the assigned team member |
Subject | A short description or title of the Task |
Start Date | The Activity Date or starting date for the Task |
Due Date | The date that the Task is expected to be completed ![]() This is the date that will be affected by the date filters on the Boards! |
Project Board | Which Project Board should the Task be assigned to |
Project Stage | The current stage (lane) of the Task. ![]() If no Board has been set yet, no stages will appear available, as they may differ by Board. If nothing shows as available for stages, make sure a board has been set in the previous field! |
Priority | The urgency of the Task activity: Low, Medium, or High |
Status | Whether the Task is yet Incomplete, or if is Completed or Canceled |
Completion Note | A freeform text field where you can enter a summary or description of the Task when completed |
Notes | A freeform text field where you can enter additional context, strategy, or conversation details about the Task activity |
Campaign | Optional to track to a specific fundraising or grant campaign |
Appeal | Option to track to a specific appeal |

To edit an existing Task on your Project, click the pen icon on a card to open the edit panel. Here, you can update the Task fields.

Advance Project Cards
You can move an Task forward in two ways:
Drag and drop the card between stage lanes on the Projects Board.
Edit the Task and select a new Task Stage from the dropdown.
Updating stages keeps your Project Board accurate and helps your team understand current Task Statuses
Managing Multiple Project Boards
The Project feature supports multiple boards, allowing you to track different ongoing projects (such as Event Planning, Grants, or Content planning).
Switch Boards: Use the Project Board selector to move between boards. Each board loads its own saved Tasks, filters, and stages.
One Task, One Board: A task can only belong to one Project board at a time. Editing the Task to switch Project boards will remove it from the original Project board.
Admin Permissions: Admins can set the stages on a specific board by using the Add Stage button on the right to add additional stages. An administrator can click the action icon (3 vertical dots) on a lane and select to rename, delete, or move a lane.
Copy or Create Boards: Duplicate an existing board with the same stages, or create a new board with its own name, description, and stages.
Edit or Delete Boards: Boards can be edited or deleted at any time. Deleting a board also removes its stages, and any related Tasks become unassigned.
Personal Default Boards
Each user can set their own default board:
Open the Project Board you want to set.
Click Set as My Default.
This personal default will override the global default set by administrators, automatically opening each team member to the board they use most often.

Otto Tips
π§ One task, one board: Each task can belong to only one Project Board, so choose the board that best fits the work.
π Use lanes with intention: Clear lane names make it easy to understand progress at a glance.
π Let the Actions Board work for you: Turning on the Actions Board toggle keeps tasks visible to the people responsible for completing them.
