Resending a Bulk Email

There may be times when you need to resend a previously sent email to specific contacts. This process can be broken down into two steps: Creating a new Marketing List and Duplicating the Email.

Step One
Create a New Marketing List (from a previously sent email)
  1. Login to your DonorDock account

  2. From the Outreach menu, select Emails

  3. Select the Sent tab at the top to view previously sent emails

  4. Click the subject line for the email in question

  5. Once on the email details page, locate the Stats box on the right and click the View Group Email Report link at the bottom of the box

  6. You should now be on an activity report for all contacts who were sent the email. You can now use the column filters in the report to identify the contacts you wish to contact.

    • For example, if you wish to contact all contacts who did not open the prior email, you may:

      • Scroll to the right and click the filter icon (looks like a funnel) for the column for Times Opened

      • From the dropdown menu, select the filter of Equals, set the value to 0, and click Filter

      • The report will now display all contacts who have not opened the email.

  7. Once the report has been filtered down to who you wish to contact, click the Add button at the top right of the filtered report

  8. Select "Add to Marketing List"

  9. In the box that opens, type in the name of the Marketing List and select it from the dropdown

    • If the Marketing List is being created from the report, the word (new) will appear behind the name in the dropdown. Selecting this will both create the new Marketing List and add the Marketing List to the box to be added to the report

  10. Once selected, the Marketing List will appear as a tag on the box. Click Apply to confirm that you are adding all contacts on the report to the Marketing List

  11. You will receive an email once the Marketing List is ready for use

Step Two
Create a Copy of the Previously Sent Email
  1. From the Outreach menu, select Emails

  2. Select the Sent tab at the top to view previously sent emails

  3. In the table of sent emails, locate the Actions column on the far right

  4. Click the duplication icon (represented by two overlapping rectangles)

  5. A draft copy of the email will be created and the page will refresh on the new email

  6. Make any modifications to the email content, and on the email settings on the left, select who the email is going to be sent to and update the subject line before sending

🙋🏽‍♂️ What if I want to resend the email to one person and not a whole list?

If you prefer not to create a new Marketing List and instead send the email individually, you can do so by saving the previously sent email as a template. Once saved, the email can be used for individual email activities.

To Save an Email as a Template:
  1. Follow the steps above to copy the previously sent email.

  2. Open the draft of the copied email and click the Templates button at the top of the page.

  3. Select Save As Template, then enter a name for the template.

  4. The template will be saved to your Marketing Templates library.

After saving the template, you can delete the draft of the copied email.

Once the email has been saved as a template, follow these steps to send an individual email:

  1. Navigate to the contact's record and click Add New Activity, or use the quick-add menu (blue plus icon in the top corner of DonorDock) and select New Activity.

  2. Set the activity type to Send Email

  3. Fill in the activity details, including Send From, Send To, and Subject Line, and toggle on the option to use a Template.

  4. Select the saved template from the list

  5. Click Create and Save to send the email
