Yes. DonorDock allows you to track grants you are currently pursuing, as well as the communication, relationships, and documents surrounding received grants. It also helps you manage relationships with granting organizations and their team members.
You may utilize Contacts, Campaigns, Pledges, Activities and Transactions to track grants, and this article outlines some suggested best practices for utilizing these tools to get the most out of DonorDock's grant-tracking features.
How to Setup a New Grant in DonorDock
Create a Contact for the Granting Organization. Make sure to set the contact type as organization. Consider adding a badge like "Granting Organization" to all granting organizations for easy filtering in reports. If you need to track communication with individuals associated with the granting organization, you can create individual contacts, and associate those contacts back to the organization.
Create a Campaign for the Grant. Creating a campaign will help you to organize all activities related to that grant. When creating the campaign, select Grant as the campaign type. Considering adding a campaign goal for the amount you hope to receive for the grant.
How to Manage Applications & Ongoing Relationships in DonorDock
DonorDock helps you keep track of grant applications and due dates, in addition to all the other stuff that might be related to your grant application like communication, documents, tasks, meeting notes, and contacts.
Add Tasks - You can add activities with the type "task" and assign them to team members to help keep track of the things that you need to get done, when they need to be done. These tasks will appear on team members action boards, in their email inbox, and in activity reports. Associate these tasks to the granting organization contact, and the grant tracking campaign, and they'll all be easily trackable back to the campaign.
Attach Documents - You can attach documents to the granting organization contact to easy access to documents related to your grant application and any associated follow up paperwork.
Add Notes - You can add notes to your contact during the application process, including links to external forms, sites, or resources.
Track Meetings - Track meetings as an activity to keep a record of important meetings and the meeting notes associated with it.
Add Contacts to the Organization - Add individual members of the granting organization as contacts in the organization.
Send and Track Emails - Use the built-in emailing features, or easy email tracking to track email communication to DonorDock, tied to the granting organization, and the specific grant.
How to Manage Grant Funds in DonorDock
You may use pledges and gifts to help keep track of funds related to your grant.
Create a pledge to track an awarded grant when the funds have not yet been received - When you have been awarded a grant but have not yet received the funds, we recommend creating a pledge that represents the amount for which you have been awarded.
Add gifts to the pledge as the funds are received - Once you have received the funds for your grant request, use a gift to track the received amount. Add a new gift with the type "donation", then add the granting organization as the contact associated with the gift, and add the campaign as a relationship to the gift.
