Tracking & Reporting on Emails

DonorDock tracks email activity so your organization can review what was sent, how recipients interacted with your emails, and how your email outreach performs over time.

Depending on what you want to analyze, you can review results for a single bulk email, view activity for individual recipients, compare email performance across a date range, or track gifts generated from your email outreach.

Tracking a Sent Bulk Email

After you send a bulk Outreach Email, DonorDock creates a Sent Email Summary Page for that email.

From this page, you can review information about the send, including:

  • Date and time sent

  • Recipient list

  • Send From team member

  • Subject line

  • Associated Campaign or Appeal

  • Public URL

  • Delivery and engagement statistics

  • Clicked links

  • Gift conversions

  • Individual recipient email activities

To open the Sent Email Summary Page:

  1. Navigate to Outreach > Emails.

  2. Select the Sent tab.

  3. Click the subject line of the email you want to review.

Understanding Email Statistics

DonorDock tracks several statistics for bulk emails, including:

Statistic

What It Helps You Understand

Sent

How many email messages were processed

Delivered

How many messages were reported as successfully delivered

Unique Opens

How many individual recipients were reported as opening the email

Opens

Total recorded opens, including repeat opens

Clicks

How recipients interacted with links in the email

Bounces

Messages that could not be delivered

Drops

Messages that were not sent because of a previous hard bounce

Unsubscribes

Contacts who unsubscribed from marketing communication

Gift Conversions

Gifts attributed to links clicked from the email

Gift Amount

Total giving attributed to the email

Some statistics, particularly email opens, depend on information provided by the recipient's email service. Privacy settings and email applications can prevent an open from being recorded or can cause an email to appear opened automatically.

For this reason, view email statistics as engagement indicators rather than an exact record of every recipient's behavior.

Reviewing Individual Recipient Activity

The Sent Email Summary Page also includes individual email activities for the recipients of the email.

These activities can show whether a particular email was:

  • Delivered

  • Opened

  • Clicked

  • Bounced

  • Dropped

You can open an individual activity to view additional information, including bounce or drop reasons when available.

Analyzing Email Performance Over Time

In addition to reviewing one email at a time, DonorDock provides an Analyze tool for evaluating bulk email performance across a selected date range.

Navigate to: Outreach > Emails > Analyze

From here, you can review metrics such as:

  • Total emails sent

  • Delivery rate

  • Open rate

  • Click rate

  • Bounce rate

  • Drop rate

  • Unsubscribe rate

You can adjust the date range, compare individual email sends, open a specific email's Sent Email Summary Page, and export the results to Excel for additional analysis.

Tracking Gifts from Email Outreach

DonorDock can automatically connect gifts to the bulk email that helped generate them.

When supported giving page links are included in an Outreach Email, DonorDock adds tracking information to the link. If a recipient clicks the link and completes a donation, the resulting gift can be attributed back to the email.

Conversion tracking can include:

  • Number of gifts

  • Total gift amount

  • Conversion rate

  • Individual gifts attributed to the email

This allows your organization to look beyond opens and clicks and see which emails are directly contributing to fundraising results.

Sharing Sent Emails

Each sent bulk email includes a Public URL that opens a browser-based version of the email.

This can be useful when you want to:

  • Share the email on another communication channel

  • Link to a newsletter from your website or social media

  • Provide someone with a browser-based copy without resending the email

You can find the Public URL on the Sent Email Summary Page.

Tracking Emails Sent Outside of DonorDock

Not every email your team sends needs to originate from DonorDock.

If an email is sent from your regular email inbox, it can still be recorded on the contact's activity timeline.

You can:

  • Create a Log Email activity after the communication has occurred

  • Use DonorDock's track@donordock.com functionality when sending an email from your regular inbox

These options help your team maintain a more complete record of donor communication, even when the message wasn't sent using DonorDock's email tools.
